School OT / PT Workload Tracker
Caseload counts students. Workload counts hours — evaluation, documentation, meetings, equipment, travel — and the gap between the two is the whole argument you keep trying to have with your administrator. It opens in Microsoft Excel and in Google Sheets, has no macros and nothing to install, and is reusable every school year.
What it does
- Seventeen OT and PT task categories, each flagged direct or indirect
- Log every task, not only the ones with a student in the room
- Hours by category charted horizontally — readable at a glance
- Total hours against contracted hours, stated as a percentage
- Equipment Log for splints, standers and adapted seating
- Next check due calculated ninety days from last checked
- One-page printable Administrator Summary with a written narrative
- Contracted hours and weeks are the only two inputs the summary needs
Every tab in the workbook
These are the actual sheet names in the file, not a feature list.
- Dashboard
- Admin Summary
- Equipment Log
- Weekly Log
- Task Categories
- Getting Started
What it looks like

Works in
- Microsoft Excel 2016 or later, Windows and Mac
- Google Sheets - upload to Drive and open
- No macros, no add-ins, no subscription
Honest scope
This is an organizational template. It reports the data you enter. It does not determine mastery, eligibility or compliance, and it does not replace your district or clinic documentation system - those stay your professional judgement.
